The Music Cube Terms & Conditions
(Effective from August 1st 2024)
Fees & Payment
How it works
We offer two payment options:
Monthly Subscription
Monthly subscriptions are available for weekly individual & group lessons scheduled during both peak and off-peak hours.
Peak hours (Monday to Friday: 15:30 – 20:30, Saturday: 9:00 – 14:00) are reserved exclusively for monthly subscription holders.
Sign up by completing our ‘Membership Enrolment Form’ to read, accept, and sign.
Pay-As-You-Learn
Ideal for those preferring occasional individual lessons during off-peak hours only.
Book lessons online in advance through our booking system for as many sessions as you wish.
Monthly Membership Subscription
Payments are processed through a recurring direct debit on a monthly subscription plan, withdrawn on the 1st of each month, in advance. We do not accept cash payments.
Payments are collected for 11 months of the year from September to July. No payments are collected in August.
Monthly subscription/tuition fees are a flat rate each month, based on the lesson type (individual, pairs, or groups) and duration (30, 45 or 60 minutes).
- Payment for lessons is divided into 11 monthly instalments. For example, individual lessons lasting 30 minutes cost £69 per month, equivalent to £20 per lesson.
Students starting in September at the start of the 2024-25 school year will receive a total of 38 lessons, ending in July. If you join later in the year, you will receive the 2 remaining lessons from the total of 38 until the school year ends in July, ensuring the cost per lesson remains consistent with the monthly rate.
- In this case, the first month’s fee is due at the time of signing up and is prorated based on the number of lessons scheduled from the first lesson date until the end of that month. For example, if you sign up on October 26th and attend 1 lesson for October, you will be invoiced only for that lesson in October. Regular subscription fees will then begin from November 1st, and the student will receive approximately 32 lessons from November to July.
- From the moment you join, you will receive a schedule for the entire school year outlining the number of lessons scheduled each month on specific days.
Membership is a rolling subscription that remains active until we receive your ‘Termination Submission Form’. While no payments are collected in August, your membership remains active until your subscription is formally canceled. Please refer to section 5 ‘Terminate Your Membership Subscription’ for details.
If the direct debit or monthly subscription fee is not set up and payment is not received by the due date, we reserve the right to charge and invoice a late fee of £15.
Additionally, if membership fees remain unpaid for a month, lesson spots may be forfeited and we reserve the right to cancel lessons with immediate effect. In such instances, any make-up lessons will be forfeited.
Membership fees may be revised from time to time. You will be provided with a minimum of 30-days’ notice prior to the change taking effect.
Schedule
2.1. General Lesson Timetable
For students on a monthly subscription plan, lesson scheduling begins once the ‘Membership Enrolment Forms’ are completed and returned.
Students on a monthly subscription plan commit to a weekly lesson on a designated day and time. In return, the teacher commits to being available for the student’s lesson on a weekly basis at the agreed-upon time.
Your designated lesson time and day will be reserved with the same teacher until the end of the school year.
Siblings learning together in pairs follow individual lesson rules.
2.1. Group Class Timetable
Group classes are scheduled at fixed times and cannot be altered.
New students are welcome to join group classes at any time.
If a group class size decreases to 2 or 1 student(s), adjustments might be made during the school year, which could involve changing the schedule or moving lessons to another day.
Please note that if the class size decreases to 2 or 1 student(s), it will necessitate a change in the group class pricing structure. Students wishing to withdraw entirely from a group class must provide a notice period of 2 calendar months in advance to terminate membership enrolment and monthly subscription fees. This advance notice ensures that existing parents on current payment plans are adequately informed of potential changes and allows them time to prepare for adjustments in payment. Please refer to section 5 ‘Terminate Your Membership’ for further details.
Groups with low enrolment may also be combined with another group of similar level, at the discretion of The Music Cube.
2.2. Lesson Timing & Membership Plan Changes
To change lesson times or membership plans (such as switching from individual to group lessons, adjusting lesson duration, or changing lesson days/times), the following conditions apply:
- Changes are subject to availability and cannot be guaranteed immediately; requests will be considered and approved once a suitable slot becomes available.
- If no immediate availability exists, requests will be added to the “Membership Plan Change” request form. Please contact The Music Cube via email to make this request.
- Changes can only be made after the current month’s membership subscription payment has been processed.
- Please note, fees vary based on the type and duration of the lesson.
- Students in paired lessons can change their schedule, provided both parties agree and there is availability.
2.3. Additional & Extended Lesson Times
Applies to individual lessons only:
- Requests for additional or extended lesson times must be arranged in advance and approved by the teacher and students/parents/guardians. If availability permits, these lessons may be scheduled during holiday periods or at other times, including extensions of the original lesson times.
- All additional or extended lesson times will be invoiced separately and are due for payment within 30 days.
- Students may also book lessons online through the pay-as-you-learn system, subject to the availability of free slots during off-peak hours.
2.4. Absences, Missed Lessons, Cancellation, Rescheduling, Make-up Lessons and Emergencies
Individual Lessons
Cancellation/Rescheduling
- To cancel or reschedule a lesson, you must provide at least 48 hours’ notice through your online account. Verbal notifications or other forms of communication are not accepted. However, please reach out to The Music Cube for assistance if needed.
- If you cancel or reschedule a lesson with sufficient notice, you will receive a make up credit to use for a future lesson. Please refer to section 2.6 ‘Make-up Lesson Credits for Individual Lessons’ for details.
- Lessons cannot be rescheduled with less than 48 hours’ notice, and no make-up credit will be provided. Whether you cancel within or outside of this notice period, the full amount for the lesson will still be charged as part of your monthly membership subscription fee.
- To cancel lessons entirely, membership termination with a minimum of 1 calendar months’ advanced notice is required. Please refer to section 5 ‘Terminate Your Membership Subscription’ for details.
Absences / Missed Lessons / No-Shows
- If a student is unable to attend, misses, or does not show up for their lesson for any reason, including examples such as short-term illness or injury (e.g. colds, sore throats, coughs, temperatures, fevers, fatigue, headaches, sprained wrists or ankles) or due to activities and events (e.g. school trips, school activities, school closures, inset days, revision leave, exams, holidays), the full amount for the lesson will still be charged as part of your monthly membership subscription fee. No make-up credits will be provided unless at least 48 hours’ notice is given.
- In cases of Force Majeure events, such as extreme weather conditions (e.g. snow days, high winds), pandemics, fire, or any other circumstance beyond our control, lessons will be conducted online or a recorded video will be sent if standard delivery is not possible.
- If a student does not attend a lesson as expected, parents/guardians may be contacted to confirm the student’s absence as part of our duty of care and communication protocol.
Late Starts / Arrivals
- Students who are late cannot be guaranteed their full lesson time, as lessons are scheduled back-to-back. However, if a lesson starts late due to teacher lateness, you will receive your full lesson time. The teacher may adjust their schedule to compensate any delays.
Student Emergencies

In cases of serious or life threatening events and emergencies (eg. severe illness, injury, significant family related issues), memberships can be paused without charge for up to 30 days after the current month’s membership subscription payment has been processed. Group Lessons (including paired lessons)

We appreciate your commitment to these schedules when joining group classes, as changes cannot be made if a student is unable to attend their designated class time.
- No make-up credits will be offered for any group lessons and no catch-up lessons will be provided, regardless of whether any notice, including 48 hours’ notice is given.
- To cancel lessons entirely, membership termination with a minimum of 2 calendar months’ advanced notice is required. Please refer to Section 5: ‘Terminate Your Membership’ for details.
Absences / Missed Lessons / No-Shows
- If a student is unable to attend, misses, or does not show up for their class for any reason, including examples such as short-term illness or injury (e.g. colds, sore throats, coughs, temperature, fevers, fatigue, headaches, sprained wrists or ankles) or due to activities and events (e.g. school trips, school activities, school closures, inset days, revision leave, exams, holidays), the full amount for the lesson will still be charged as part of your monthly membership subscription fee.
- In cases of Force Majeure events such as extreme weather conditions (e.g. snow days, high winds), pandemics, fire, or any other circumstance beyond our control, lessons will either be delivered via recorded video or the group may be rescheduled to an available time on the school year calendar that accommodates everyone. Three possible times will be suggested, and the preferred time chosen by the majority will be selected for the rescheduled lesson.
- If a student does not attend a lesson as expected, parents/guardians may be contacted to confirm the student’s absence as part of our duty of care and communication protocol.
- Students who are absent from group lessons will still receive weekly lesson notes / videos / resources to ensure they stay engaged and continue their learning.
Late Starts / Arrivals
- Students who are arrive late cannot be guaranteed their full lesson time, as lessons are scheduled at fixed times. The teacher may adjust their schedule to compensate for any delays and late students are welcome to join the remainder of the lesson.
Student Emergencies
- 48 hours notice is subject to emergency provisions. In cases of serious or life threatening events and emergencies (eg. severe illness, injury, significant family related issues), memberships can be paused without charge for up to 30 days after the current month’s membership subscription payment has been processed. Alternatively, adjustments to direct debit fees may be considered. Please refer to Section 4: ‘Pause Your Membership’ for details.
No Refunds
- No refunds will be issued for group lesson fees under any circumstances. Make-up credits will not be provided for any group lessons.
2.5. Teacher Absences, Emergencies and Changes
Teacher Absences
- If a lesson is missed by the teacher, or if a teacher is unable to conduct a full day of lessons (which we endeavour to avoid), we guarantee appropriate compensation in accordance with your monthly subscription payment plan as indicated below.
- The Music Cube/Teacher ensures a minimum of 38 lessons from September to July (or prorated for students starting later in the year). Make-up credits, rescheduling, or alternative arrangements may be offered to meet this commitment.
- The teacher aims to provide at least 30 days’ advance notice for cancellations whenever feasible, or at least 48 hours’ notice in cases of illness, injury, or other circumstances. While efforts will be made to avoid cancellations within the 48-hour notice period due to unforeseen events, occasional exceptions may occur.
In such cases:
For Individual Lessons
- A make-up credit will be issued to be used at a later date.
- Or an extended lesson will be arranged if possible at another time.
- Or a recorded video lesson will be provided.
- Or a substitute teacher may be arranged.
For Group Lessons:
- The lesson will be rescheduled.
- The teacher will suggest three possible times on the school year calendar, and the time preferred by the majority will be chosen.
- Or a recorded video lesson will be provided.
- Or a substitute teacher may be arranged.
Refunds are not offered as an alternative form of compensation.
Teacher Emergencies
48 hours’ notice is subject to emergency provisions. In cases of serious or life threatening events and emergencies (eg. severe illness, injury, significant family related issues), adjustments to direct debit fees may be considered and adjusted accordingly. No make-up, recorded video, or extended lessons will be provided for individual lessons, and group lessons will not be rescheduled or have recorded video lessons sent out. If possible, a substitute teacher may be arranged, with advance notice given to parents when feasible.
In case of extended teacher absences, membership subscriptions can be paused without charge for up to 30 days after the current month’s subscription payment has been processed, following any necessary fee adjustments. Please refer to section 4, ‘Pause Your Membership,’ for more details
Teacher Changes
If a teacher needs to be replaced, changes their schedule, leaves, or decides not to teach anymore, you will receive at least one calendar months’ advanced notice. In such cases, we will arrange for lessons to continue at your regular weekly day/time or an alternative day with a new teacher. Alternatively, you may be placed on a waiting list or have lessons put on hold until a new teacher is available. Membership subscriptions will be paused without charge after the current month’s payment has been processed and after you have received all lessons scheduled for that month.

There is no limit on how many teacher absence credits you can have, and they do not affect the limit of available student make-up credits.
Credit Validity
Student and teacher make-up credits are valid for 60 days and can be used at any time during the school year.
After this period, unused credits will expire and be removed from the member’s account.

Pause Your Membership Subscription
If you need to take a break but want to keep your fixed lesson time, you can pause your membership for up to 1 calendar month during the rolling school year from September to July. This pause must be taken all at once and cannot be spread out over multiple months. The pause cannot exceed one month, as we may have others waiting to join.
The paused month will be billed at 50% of the monthly membership subscription fee and invoiced separately.
Pausing your membership is only available once your current month’s membership subscription fee has been paid.
You must provide at least 1 calendar months’ notice in advance to pause your membership. For example, if you give notice on April 14th, your membership subscription will be paused on the 1st of June at the earliest. Regular subscription fees will resume on July 1st. Please contact The Music Cube via email to make this request.
In cases of serious or life-threatening events and emergencies (eg. severe illness, injury, significant family-related issues), memberships can be paused without charge for up to 1 calendar month after the current month’s membership subscription payment has been processed. Alternatively, adjustments to direct debit fees may be considered.
Terminate Your Membership Subscription
Cooling-Off Period
The cooling-off period starts from the date of the first payment and ends 14 days later. If you change your mind within this period, you will be covered by our 14-day money-back guarantee. You will receive a refund for any lessons paid for but not received prior to the cancellation. Any reasonable costs incurred and all lessons provided during the cooling off period will still be payable at a prorated monthly membership rate.
Terminating Individual Lessons
You can cancel your monthly membership subscription at any time by giving one full calendar month’s notice in advance. The cancellation will take effect at the end of the following month. For example, if you give notice on the 14th of April, your monthly membership subscription will stop on the 31st of May at the earliest.
If you have any make-up credits, they must be used by the final day of your membership subscription. Please note that no refunds will be issued for unused make-up credits.
Terminating Group Lessons
You can cancel your monthly membership subscription at any time by giving two full calendar month’s notice in advance. The cancellation will take effect at the end of the second month following the date of notice. For example, if you give notice on the 14th of April, your monthly membership subscription will stop on the 30th of June at the earliest.
This ensures fairness, particularly if the class size diminishes to two or one student(s), thereby necessitating a change in the group class pricing structure.
Implementing this policy is essential to provide existing parents on their current payment plans with sufficient notice of potential changes and to allow them time to prepare for adjustments in payment.
Additionally, It also allows teachers conducting the sessions to be adequately informed in advance and gives us time to reorganise any reduced-sized classes.
Please note that while students may choose not to attend anymore, full payment remains obligatory until the membership has ended.
Termination Submission Form
To definitively end your lessons, please email The Music Cube to request the ‘Termination Submission Form’. After filling out the form, return it via email. You can also access this form through our website. We are not able to accept requests to stop your membership subscription via other means of communication.
Review of Terms and Conditions
Our terms and conditions are reviewed annually to ensure they meet current needs and standards, including evaluating fees to cover professional licenses, royalties, and transaction costs.
Each June, we review lesson, exam, and book fees. If there are any price increases, members/students/parents/guardians will be notified in July, and the new prices will take effect on September 1st.
If any other changes to our policies, terms and conditions or services are made, we will provide at least 30 days’ advance notice, typically sent out at the beginning of July in preparation for September.
