The Music Cube Terms & Conditions
(Effective from September 1st 2025)
Fees & Payment
All payments are processed via recurring direct debit through Stripe on the 1st of each month, in advance. We do not accept cash.
Payments are collected for 11 months from September to July. No payments are collected in August.
Monthly subscription fees are a flat rate based on lesson type (individual, pairs, or groups) and duration (30, 45 or 60 minutes). Fees are divided into 11 monthly instalments.
- Example: Individual 30-minute lessons cost £76/month (£22 per lesson).
Each school year includes 38 lessons during term time (September–July). When joining mid-year, students receive the remaining lessons, keeping the cost per lesson consistent with the monthly rate, and the first month’s fee is prorated based on the number of lessons from the start date to the end of that month.
- Example: If you join on October 26th and attend one lesson that month, you’ll be charged only for that lesson. Regular monthly fees start November 1st, with 32 lessons from November to July.
Membership is a rolling subscription that remains active until you submit a ‘Stop Your Membership’ form. While no payments are collected in August, your membership continues until formally canceled.
Lessons require payment in advance. If a Direct Debit fails and payment isn’t received within 30 days, a £15 late fee may be charged, lesson spots may be forfeited, and we reserve the right to cancel lessons immediately.
Trial lesson fees are £5 and are non-refundable.
Additional lessons outside the 38 included in the subscription plan (e.g. half terms or extra sessions during term time) are charged separately on a pay-as-you-go basis.
Membership fees are revised yearly. You will be given a minimum of 30 days’ notice before any change takes effect.
Schedule
The Music Cube/teachers guarantee a minimum of 38 lessons from September to July (prorated for later starters). Students commit to a weekly lesson at a fixed day and time, which is reserved exclusively for them by the teacher for the full school year or for as long as lessons continue. Their schedule, including the number of lessons and specific days each month, is available in their online account, either for the full school year or, for mid-year starters, for the remainder of the year.
2.1. Group Lesson Timetable
Group (and paired) classes are scheduled at fixed times and cannot be altered.
New students are welcome to join group classes at any time.
If a group size falls to 2 or 1 student(s), adjustments may be made during the school year. These could include rescheduling lessons, combining the group with another of a similar level, changing the lesson duration (e.g. from 60 to 30 minutes), or adjusting the pricing structure.
2.2. Lesson Timing & Membership Plan Changes
Requests to change lesson type (e.g. individual to group), duration, or day/time are subject to availability and cannot always be accommodated immediately.
Changes are approved once a suitable slot becomes available and after the current month’s membership payment has been processed.
Paired lessons may be rescheduled if both students and parent/guardian agree and there is availability.
2.3. Additional & Extended Lesson Times
Applies to individual lessons only.
Requests must be made in advance and approved by the teacher and parent/guardian.
If availability allows, extra lessons may be scheduled during holiday periods or as extensions to regular lesson times.
2.4. Absences, Cancellation and Make-up Alternatives
Notice of Absence (Individual Lessons only): 48 hours’ notice is required via your online account or contacting info@themusiccube.co.uk to access a make-up alternative. Full lesson fees still apply. Traditional rescheduled lessons are not offered for any lesson type.
Make-Up Alternatives (Individual Lessons, with 48 hours’ notice):
- Asynchronous Lesson: Send a video in advance; teacher reviews and provides feedback during your usual lesson slot.
- Teacher Video Lesson: Teacher records a personalised practice video during your usual lesson time.
- Online Lesson (Zoom): Subject to teacher setup.
- Gift Your Slot: Offer your lesson time to a friend/family member.
Lesson fees are charged in full for all missed lessons, regardless of notice or absence including short-term illness/injury (e.g. colds, sore throats, coughs, temperatures, fevers, fatigue, headaches, sprains) and activities/events (e.g. school trips, closures, inset days, exams, holidays, travel delays.
Group Lessons & Paired Lessons: Are at fixed weekly times that cannot be adjusted for individual conflicts. Missed sessions are charged in full with no make-up alternatives, even with notice. Weekly notes and resources are still provided.
Force Majeure: If in-person lessons are not possible due to events beyond our control, (e.g. severe weather, pandemics, fire) lessons will be delivered either online for individual lessons or via recorded resources and lesson notes for individual and group lessons).
Late Starts / Arrivals: Students arriving late may lose lesson time. If the teacher is late, the full lesson will be delivered.
No Refunds: All fees are non-refundable. Make-up alternatives are the only option for individual lessons with 48 hours’ notice.
Student Emergencies: Serious illness, injury, or family emergencies may be considered on a case-by-case basis, with possible membership pauses, fee adjustments (including refunds), or make-up alternatives at our discretion.
2.5. Teacher Absences, Emergencies and Changes
Teacher Absences: If a teacher is absent, the student’s lesson will never be lost. Lessons will be recovered through one of the following options:
- Individual Lessons: Make-up credit for a rescheduled lesson at later use, extended lesson if possible, or a make-up alternative such as an asynchronous lesson, teacher video lesson, online lesson, or ‘gift your slot’.
- Group Lessons: Extended lesson if possible, rescheduled lesson with the teacher proposing three dates (majority choice will be taken), a substitute teacher if possible, or a make-up alternative such as a teacher video lesson.
Missed rescheduled lessons cannot be rescheduled.
There is no limit on teacher absence credits for individual lessons. Credits have no cash value, must be used during active membership, and expire at membership end. If no suitable alternative can be arranged, a refund will be issued as a last resort.
Teacher Emergencies & Extended Absences: Serious illness, injury, family emergencies, or extended absences may be considered on a case-by-case basis. Possible actions include membership pauses, fee adjustments (including refunds), or make-up alternatives at our discretion after the current month’s fees have been processed. Lessons will not be rescheduled. If possible, a substitute teacher may be arranged.
Teacher Changes: If a teacher leaves, changes schedule, or stops teaching, at least one calendar month’s notice will be given. Lessons will continue with a new teacher at the usual time or an alternative day. Alternatively, lessons may be paused or you may be placed on a waiting list until a new teacher is available. Membership can be paused without charge after the current month’s payment has been processed.
General
Instrument and Learning Materials: Students are responsible for their own instruments and equipment and must bring any necessary learning materials, such as books, to each lesson.
Student Well-being and Medical Information: Students/parents/guardians must inform the teacher of any medical or other conditions affecting the student.
Property Damage: Students/parents/guardians are liable for damage they cause at The Music Cube. Teachers are liable for any damage they cause at students’ homes.
Safeguarding, Code of Practice and Conduct:
- All teachers at The Music Cube adhere to professional safeguarding standards, hold valid DBS certificates, and follow a code of conduct.
- Teachers may cancel or reassign lessons if a student displays disruptive or unsafe behaviour.
Class Etiquette:
- Students are expected to practice at home and come prepared for lessons.
- Recording or photography during lessons at The Music Cube is not permitted. Mobile phones should be silent and out of sight, except at the end of the lesson to capture notes if needed.
- All lesson notes, videos, and resources will be provided by the teacher.
Exams & Music Books
Payment of Exam & Book Fees: Books and exam fees are paid for separately. Exams are only submitted once entry fees have been paid in advance by the student/parent/guardian.
Exam Entries:
- Entries are made with the agreement of the student/parent/guardian and teacher.
- Group/Yamaha Students: Exams are taken alongside the rest of the class as they progress together.
Pause Your Membership Subscription
Students may pause their membership for up to one calendar month during the school year (September–July) to keep their fixed lesson time. The pause must be taken all at once and cannot exceed one month.
The paused month will be billed at 50% of the monthly fee.
Pausing is only available once the current month’s fee has been paid.
At least one calendar month’s notice is required. For example, notice given on 14th April will pause the membership from 1st June at the earliest. Regular fees resume on 1st July.
In cases of serious or life-threatening emergencies (e.g. severe illness, injury, or significant family issues), memberships may be paused without charge, or adjustments to your direct debit fees (including refunds) may be applied.
Terminate Your Membership Subscription
Terminating Individual Lessons
You may cancel your monthly membership at any time by providing one full calendar month’s notice. Cancellation will take effect at the end of the following month. For example, notice given on 14th April will end the membership on 31st May at the earliest.
Any teacher make-up credits must be used by the final day of your membership. Unused make-up credits are non-refundable.
Terminating Group Lessons
You may cancel your monthly membership at any time by providing two full calendar months’ notice. Cancellation will take effect at the end of the second month following the notice. For example, notice given on 14th April will end the membership on 30th June at the earliest.
This notice period ensures fairness if class sizes decrease, which may require changes to the group pricing structure. It also gives other students/parents and teachers sufficient time to prepare for adjustments and reorganise reduced-sized classes.
Please note that full payment remains due until the membership officially ends, even if a student chooses not to attend.
Termination Submission Form
To definitively end your lessons, please email The Music Cube to request the ‘Stop your Membership’ form. You can also access this form through our website. We are not able to accept requests to stop your membership subscription via other means of communication.
Review of Terms and Conditions
Our terms and conditions, policies, and fees are reviewed annually to ensure they remain up to date and cover professional costs. We will provide at least 30 days’ notice if any changes are made.
These terms and conditions apply to all lessons at The Music Cube, including those at other locations, online, and home-based lessons.
